How to Reply to Google Reviews: Examples for Good and Bad Reviews
Ready-to-adapt replies for 5-star, mixed and negative Google reviews, plus what never to write, and extra care for health businesses.
Your replies are public. Future customers read them to see how you treat people, especially when something went wrong. A thoughtful reply to a bad review can win more trust than a dozen 5-star ones.
The basics
- Reply to every review, good and bad, ideally within a few days.
- Use their first name and mention something specific they said.
- Keep it short. Two to four sentences is plenty.
- Sound like a person, not a template. Vary your wording.
- Reply in the reviewer's language if you can.
Replying to a 5-star review
Thank them, reflect one detail back, and invite them back.
Thanks so much, Daniel! We're glad the furnace tune-up went smoothly and that Mike explained everything clearly. See you next fall. – The Northside Heating team
Avoid copying the same "Thank you for your review!" onto every reply. It looks automated, and it is a missed chance to sound human.
Replying to a mixed review
Thank them for the good parts, acknowledge the issue, and say what you're doing about it.
Thanks for the kind words about the food, Aisha, and sorry about the wait on Saturday. We've added another person to the weekend lunch shift so it doesn't happen again. Hope to see you back soon.
Replying to a negative review
Stay calm, even if the review feels unfair. You're writing for the next hundred people who read it, not just the reviewer.
- Thank them for the feedback.
- Apologize for their experience (without arguing or admitting legal fault).
- Move the conversation offline with a direct phone number or email.
Hi Sam, thank you for letting us know, and I'm sorry your visit didn't go the way it should have. I'd like to understand what happened and make it right. Please call me directly at 905-555-0100. – Raj, owner
What never to write
- Arguments or blame ("Actually, you arrived 20 minutes late…").
- Private details about the customer, their order or their appointment.
- Offers in exchange for changing the review ("We'll refund you if you remove this"). That breaks Google's rules.
- Anything written in anger. Wait an hour, then reply.
Extra care for dentists, clinics and other health businesses
If you're a health provider, be very careful. Replying "We're sorry your root canal was painful" confirms that the reviewer is your patient and reveals health information, which can create problems under Ontario's health privacy rules and your professional college's guidelines.
Instead, keep replies general and never confirm someone was a patient:
Thank you for your feedback. We take every concern seriously and would welcome the chance to talk. Please call our office manager at 905-555-0100.
Saving time without sounding like a robot
If you get many reviews, an AI reply writer can draft options in your tone and in the reviewer's language, so you only have to pick one and adjust it. Always read before posting. You're responsible for what goes up under your business name.
